Event Weather Planning: Hope for the Best, Plan for the Worst
Mother Nature doesn't check your event schedule.
Outdoor events are vulnerable. Rain, extreme heat, cold, wind - any of these can ruin an activation. Planning for weather means having contingencies ready.
Weather Risks
- Rain: Most common. Affects attendance, setup, product integrity.
- Extreme heat: Staff fatigue, product spoilage, safety concerns.
- Cold: Low attendance, equipment issues, staff comfort.
- Wind: Tent/signage safety, product displays.
- Lightning: Safety first - know evacuation plans.
Contingency Options
Tent coverage: Pop-ups or rented tents for rain protection.
Indoor backup: Identify nearby covered locations.
Reschedule triggers: Define conditions that cancel vs. modify.
Weather gear: Ponchos, umbrellas, branded rain gear for staff.
Communication plan: How to notify staff of changes.
Staff Considerations
- Appropriate weather attire available
- Rotation schedule for extreme conditions
- Hydration/cooling for heat
- Warming for cold
- Clear safety protocols
