Conference Staffing: Getting Real Results
Badge scans are easy. Qualified leads are hard. Here's the difference.
I've watched booth staff scan 500 badges and generate zero pipeline. I've also watched them scan 50 and book 15 meetings. The difference isn't volume - it's approach.
Conference Staff Roles
Greeters/traffic drivers: Draw people to the booth. Qualify basic interest. Hand off to specialists.
Product specialists: Deep product knowledge. Can demo, answer technical questions, handle objections.
Lead qualifiers: Sales-minded staff who determine fit, timeline, authority. Document everything in CRM.
Executive hosts: Senior staff for VIP meetings and serious conversations.
The Qualification Framework
Train staff on BANT or similar:
- Budget: Do they have money for this?
- Authority: Are they a decision-maker?
- Need: Do they have a problem you solve?
- Timeline: When are they looking to act?
A badge scan without qualification is worthless. A qualified conversation without a scan still has value.
Booth Flow Management
Good staffing creates good flow:
- Greeters at front, engaging passersby
- Demo stations in middle, capturing interest
- Conversation areas in back, for qualified discussions
- Clear handoff protocols between roles
Energy Management
Conferences are marathons. Staff can't maintain energy for 10 hours without:
- Scheduled breaks (enforced, not optional)
- Rotation between high and low intensity positions
- Adequate staffing (don't run lean)
- Food, water, comfortable shoes
