Client Reporting: Watch Your Activation Live. Get the Recap Next.

Client reporting at Air Fresh means a private portal that shows your program as it happens, and a recap within 48 hours that you can forward to your boss. The recap is drafted by AI from field data and checked by a person before you see it.

You Paid for the Event. You Should Not Have to Chase the Proof.

Most staffing vendors send a timesheet and a handful of photos a week later. Then you build the report yourself. We send the report. During the event you can see who is confirmed and checked in. After it, you get the numbers, the photos and a short write-up in plain English.

What Is in Your Client Portal

One private link for the whole program. Sections are switched on to fit what you bought.

Live event tracker

On event day the portal shows where things stand: starting soon, team on site, live now, wrapped. Field notes come in from the team lead with a timestamp.

Staffing you can see

Each event card shows roles booked, how many are confirmed and how many have checked in. Roles and counts only. Staff names stay private.

One shared calendar

Every date in your program on one calendar. Subscribe from Google, Apple or Outlook so it lands next to your own meetings.

Photo folders

Curated photos from the field, organized by event, ready to drop into a deck or a social post.

Program details

Venue, parking, check-in, on-site plan, run of show and the name of your on-site lead in one place.

Reports, documents and estimates

Monthly reports, contracts and documents live in the portal. Approve an estimate or send it back with changes without an email chain.

Ask for more

Request another date or market, or message the team, from inside the portal.

Private by default

Each client gets a private link plus a one-time email code. Portals are never indexed by search engines.

A Sample Event Recap

This is the format every recap follows. Conditions, the key numbers, a short daily report, then wins, challenges and what consumers said. The brand and figures here are made up.

  • Built from field facts only
The recap is drafted from what the team logged: counts, photos, conditions and notes. Nothing else goes in.
  • Numbers are checked
If the draft contains a number that is not in the field data, it is thrown out and redrafted. Made-up stats do not get through.
  • A person reads it first
Our team reviews and edits every recap before it reaches you. Drafts never show up in your portal.
  • No staff names
Recaps talk about the program, not the people. Staff privacy is built in.

Client Reporting FAQ

What is included in Air Fresh Marketing client reporting?

Every event gets field photos and a recap. Programs get a private client portal with a live event tracker, staffing status, a shared calendar, photo folders, program details, monthly reports and documents. Recaps are AI-drafted from field data, checked by our team and delivered within 48 hours.

Is the AI recap accurate?

The draft only uses facts the field team logged. Any number that does not match the field data is rejected, and a person on our team reviews and edits the recap before you see it. If something is unclear, we ask the team lead instead of guessing.

Can I share a recap with my boss or my client?

Yes. Each event recap can be shared as its own page, with photos and the key numbers, without giving anyone access to your full portal.

Which metrics can you track?

We agree on the metrics before the first event. Common ones are interactions, samples or flyers handed out, leads captured, QR scans, sign-ups, units sold and interactions per hour. We only report what the team can actually count.

Does every program get a portal?

Multi-event and multi-week programs get a portal. Single events get a photo recap by email, and we can set up a portal if you want one.

Do I need to install anything?

No. The portal runs in any browser, on desktop or phone. You sign in with a private link and a code sent to your email.
