Event Staffing Coordinator

You are the engine behind our field teams

Air Fresh Marketing has staffed and run brand activations, field marketing programs, and event experiences nationwide since 2008. Every event we run needs the right brand ambassadors, event staff, and team leads recruited, booked, confirmed, briefed, and ready on event day. You own that pipeline from sourcing to confirmation, and you fill the gap fast when someone cancels the night before.

What you'll do

• • Recruit brand ambassadors and event staff from our 16,000+ contractor database, job boards, social, and your own network. Screen and book them.
• • Post roles, run quick phone or video screens, and confirm availability for upcoming programs
• • Send booking confirmations, briefs, and final details. Chase confirmations until every shift is covered
• • Keep staff records, availability, and shift tracking accurate in our systems
• • Answer routine field staff questions using our templates
• • Work with our Director of Operations on staffing needs one to three weeks out and flag gaps early
• • Handle last-minute cancellations and fill gaps fast. This is where you shine

Who we're looking for

• • 1+ years of hands-on recruiting. You have personally sourced, screened, interviewed, and booked hourly or contract workers
• • Event staffing agencies, hospitality or gig staffing, promo and brand ambassador recruiting, or high-volume agency recruiting all count
• • Scheduling-only or admin-only backgrounds are not a fit
• • Fast, organized, and relentless about follow-up. Comfortable on the phone and in text-heavy communication
• • Calm when someone cancels the night before an event
• • US-based. Google Workspace, spreadsheets, scheduling or ATS tools. We use AI-assisted workflows and will train you
