Event staffing in Austin is changing. The Austin Convention Center is closed for a full rebuild, so SXSW and many other events have moved into venues around downtown. If your plan is based on how Austin worked a few years ago, check it again.
This guide covers what Austin projects typically cost, the venues and the event calendar, the city permit tiers, food sampling rules, and a checklist for vetting any Austin event staffing agency or promotional staffing company.
It is not a ranked list of agencies. It is what to check before you book.
What event staffing costs in Austin
We price by the project, not by the hour. These are the typical ranges we see for Austin work in 2026.
| Project | Typical range | What it usually covers |
|---|---|---|
| Single-day activation or street team | $2,500 to $7,500 | A pop-up, sampling day, festival booth or street team push. A briefed crew for one day, GPS check-in, field photos and a recap. |
| Trade show staffing | $3,000 to $10,000 per show | Booth hosts, lead capture and demo staff for one show, briefed on your product before the doors open, with daily lead and interaction counts. |
| Multi-week sampling or demo tour | $15,000 to $45,000 | Sampling or in-store demos across many stores, events or cities over several weeks, with team leads, counts by location and weekly recaps. |
Travel billed at cost. If your team is local to Austin, there is usually little or no travel on the bill.
What moves a Austin project up or down the range:
- Festival weeks. SXSW in March, ACL Fest in October and F1 weekend fill the staffing pool fast. Book early.
- Spread-out venues. With SXSW running campus-style, activations are spread across downtown. More locations means more staff and coordination.
- Heat. Austin sees a lot of 90 and 100 degree days. Outdoor shifts need shade, water and rotations.
- Food permits. Sampling food or drinks to the public needs a temporary food permit, which adds prep.
- Training depth. A real demo takes more prep than a sample handout.

Local things that change your plan in Austin
Permit tiers
The Austin Center for Events coordinates special event permits. Deadlines depend on the size of the event. Small Tier 1 uses, like a sidewalk closure or using parking spaces for a display, need 3 business days. Tier 2 needs 30 days, Tier 3 needs 120 days and city-wide Tier 4 events need 180 days. Late applications can be denied.
No new downtown street events
The city has an indefinite moratorium on new downtown street events, with exceptions looked at case by case. Plan your activation on private property or inside a venue unless you have a strong reason not to.
Food sampling needs a permit
Food samples offered to the public at Austin events need a temporary food permit, especially for open food or drinks kept hot or cold. Build that into your timeline.
Amplified sound
Outdoor amplified sound needs separate approval and gets stricter review within 600 feet of homes.
Heat
Austin hits 90 degrees on about 123 days a year, including about 29 days at 100 or more. July and August are the hardest. Shade, water and short rotations are not optional.
Trade show, festival and brand ambassador staffing in Austin
SXSW and festival staffing in Austin
SXSW, ACL Fest and race weekends are the big ones. With SXSW spread around downtown, staff need clear maps, check-in points and a lead who can move between sites.
Trade show staffing
With the convention center closed for its rebuild, shows and expos that used to be there are booked at other venues, like the Palmer Events Center. Confirm your venue with the organizer first. Booth hosts, lead capture and demo staff are still the core roles.
Promotional and brand ambassador staffing
Sampling, street teams and retail demos run all year. If you are comparing promotional staffing companies, ask how they verify attendance, how they train staff and what is in the recap.
How to vet an event staffing agency in Austin
Use this checklist on every agency you talk to, us included.
- Where do the staff come from? Ask if the team lives in Austin or is flown in. If people travel, someone pays for flights and hotels. Ask how travel is billed.
- How are they trained on your product? Ask for the brief, the training format and how they check that staff learned it before the event.
- How is attendance verified? Ask how check-in works. GPS check-in and time-stamped field photos are easy to ask for.
- Who leads on site? Ask who the team lead is, and who you call if something goes wrong at 7 a.m.
- What is in the recap? Ask what you get after the event and when. Counts, photos and notes from the floor should be standard.
- What happens if someone does not show? Ask about backups and how fast they can fill a gap.
- Can they meet your venue paperwork? Many venues and shows ask for a certificate of insurance and staff names ahead of time. Ask if the agency handles that.
- Have they done work like yours? Ask for an example close to your event type. A sampling tour and a booth at a tech conference are different jobs.
- Do they know the current SXSW setup? Ask how they would staff an activation now that SXSW runs across many downtown venues.
- Do they know the permit tiers? Ask which tier your event falls in and what the deadline is.
Local agency or national agency? An honest take
A local Austin agency can be a strong fit for a single event. They know the venues, the festival crews and the neighborhoods.
A national agency fits better when Austin is one stop on a bigger plan, like a festival circuit or a multi-city sampling tour. You get one contract, one training plan and one recap format across every market.
We are a national agency based in Denver. If Austin is your only event and you already trust a local team, that may be the simpler choice.

- Get a quote. You should get a project price, not a stack of hourly line items.

- Train the team. Your product, your talking points, your lead capture. Short and specific.
