Permits and insurance

Permits and paperwork, done before the truck rolls.

A great stop with no permit is a fine and a lost day. We read the rules early and file on time.

What we handle

  • City permits. Plaza, sidewalk and street event permits. We read the city's rules, note the filing window and build the packet: site plan, run of show, insurance.
  • Venue and retailer approvals. Written OK from the mall, the store or the venue before we book a crew.
  • Parking. A plan for every stop, and receipts for every paid spot.
  • COIs. General liability and auto certificates, with the right additional insureds.
  • Special access. Background-checked crews for sites that need them, like military base stores.
  • DOT. When a vehicle needs DOT authority or a CDL driver, we bring in a licensed partner.

What we've learned the hard way

Filing windows are real. In New York City, many pedestrian plaza events must be filed 30 days ahead, and using more than one block can push that to 45. We plan the route around the permit, not the other way round.

Proof

  • We built a NYC pedestrian plaza permit packet for a brand install: rules, filing route, COI with additional insureds and site plan requirements.
  • We secured retailer lot permission for the Woobles Wagon stops.
  • We run background-checked crews on military base stops.

Need the people too?

People are where we started. If you need brand ambassadors, tour staff or event crews, see event staffing, brand ambassadors and mobile tour staff.

Frequently asked questions

Can you handle permits in every city?

We research and file permits city by city. Each city has its own rules and timelines. We'll tell you early if a stop is unlikely to get approved in time.

How far ahead should we start?

Eight to ten weeks for a multi-city tour is comfortable. Some city permits need 30 days or more on their own. We can move faster on short tours, but permits set the floor.

Are your crews insured and background-checked?

Our vehicles and drivers are insured before they drive. We issue COIs for venues and cities. Background checks and certifications, like food handler cards, are set per program.
